Job Title: Administrator / Administrative Assistant
Location: Mindplace Peterborough, Serpentine Green Hargate Way, Hampton, Peterborough, PE7 8BE
Salary: £27,900 per annum plus excellent benefits
Contract Type: Permanent, Full-Time (37.5 hours per week; shifts consist of weekday shifts 2:00 PM – 10:00 PM and at least one weekend shift—Sat 9:00 AM – 5:00 PM or Sun 11:00 AM – 5:00 PM—with some flexibility for day shifts as required)
We are partnering with Mindplace Peterborough—a dedicated centre creating spaces for expert face-to-face mental health and wellbeing support, grounded in nearly 80 years of trusted Bupa care—to find a dedicated and organized Administrator. At Mindplace, caring for the mind is considered as natural as caring for the body.
As an Administrator through Supportive Bridge, you will efficiently and effectively manage all administrative and receptionist activities to ensure the smooth operation of the centre. You will act as a key support network, providing outstanding customer service and ensuring that every interaction for adults and children alike is special, memorable, and supportive.
Greet and welcome customers warmly, supporting their end-to-end customer journey from arrival through to a thorough checkout.
Answer, screen, and forward incoming customer queries via phone and proactively manage local mailboxes and emails.
Maintain a pristine, well-presented reception and waiting area, escalating facilities needs proactively.
Dispatch customer reports within desired time frames, effectively managing abnormal results and ensuring all documentation meets agreed SLAs.
Prepare clinical files, ensure correct paperwork, appointment packs, and consent forms are ready, and manage bookings for mammograms and MSK referrals where applicable.
Handle results management (receiving, scanning, uploading) and process payments, invoices, added charges, credit notes, and patient details accurately using management systems.
Handle incoming and outgoing post, generate letters, monitor stock, order goods, and process invoices and delivery notes according to policy.
Previous administrative and reception experience with strong computer literacy.
Excellent verbal and written communication skills with a friendly, welcoming, and customer-first approach.
Highly organized, reliable, resilient, and proactive with strong time-management capabilities.
Flexible and adaptable to changing environments, able to work autonomously and as part of a multi-disciplinary team.
Desirable: Knowledge of medical terminology.
Note: Applicants must be flexible and able to commit to the required shift pattern, including weekday evenings and weekend hours.
