We are looking for an exceptionally organised, practical, and proactive Corporate Executive Assistant to provide high-level professional and administrative support to our Executive Team.
This role requires someone who can manage competing priorities with complete discretion, efficiency, and a solutions-focused approach. Alongside executive leadership support, the role includes structured business and marketing administration responsibilities, such as stakeholder communications, database management, and coordinated mail-outs.
1. Executive Leadership Support
Manage complex and dynamic diaries, prioritising competing demands and ensuring strategic time alignment.
Coordinate internal and external meetings, including the preparation of agendas, briefing documents, comprehensive minutes, and action points.
Draft high-quality correspondence, reports, and presentations.
Act as the primary point of contact for executive-level communications, screening and prioritising appropriately.
Handle confidential records and sensitive information with absolute discretion.
2. Marketing & Communications Administration
Coordinate and administer electronic and postal organizational mail-outs (stakeholder briefings, newsletters, service updates, and campaign communications).
Maintain accurate stakeholder and partner contact databases in full compliance with GDPR requirements.
Support the preparation, formatting, and tracking of marketing materials, presentations, and campaign documentation.
Liaise with external suppliers (e.g., printers, designers, mailing services) and support website content updates and internal communications.
Assist in organizing promotional events, stakeholder engagement sessions, or service launches (coordination-based rather than strategic marketing ownership).
3. Operational & Administrative Support
Provide structured administrative support across departments, develop electronic filing systems, and manage archiving.
Coordinate travel, events, stakeholder visits, and Head Office logistics (supplies, mail, maintenance tasks).
Work collaboratively with the second Corporate Executive Assistant to provide seamless cross-cover.
Identify process inefficiencies and contribute to developing high professional administrative standards across the organization.
Essential Criteria
Experience: Proven track record (3 years+) as an Executive Assistant or senior administrator supporting senior leadership.
Skills & Abilities: Outstanding organizational, prioritization, and time-management skills with exceptional attention to detail.
Communication: Excellent written communication skills, with proven experience taking formal minutes and identifying action points.
Professionalism: High level of professional discretion, integrity, and ability to handle confidential/sensitive information.
Technical Proficiency: Advanced Microsoft Office skills (Outlook, Word, PowerPoint, Excel) and a solid understanding of GDPR principles.
Values: A clear, demonstrated commitment to pro-choice principles and patient-centred care.
Desirable Criteria
Experience working within healthcare, the public sector, or regulated environments.
Background supporting marketing, board governance, or stakeholder engagement activities.
Familiarity with email marketing platforms such as Mailchimp.
