Working Pattern: Part-time (variable hours by rota across both practice sites)

We are acting on behalf of G DOC Ltd—a unique, GP-owned, not-for-profit organisation representing all GP surgeries in Gloucestershire—to recruit a dedicated and passionate Patient Services Manager.
In this vital leadership role, you will oversee the supervision and efficiency of the reception team and function across both the Pavilion Family Doctors and St. James Family Doctor sites. Working closely with the Deputy Practice Manager, you will influence the patient experience from their very first point of contact, ensuring compassionate, high-quality service while developing your leadership and management skills in a supportive primary care environment.
1. Team Leadership & Management
Supervise, train, and mentor the reception team, ensuring staff are fully supported, competent, and signed off in line with practice policies.
Conduct regular 1:1 reviews, manage appraisals, oversee rota planning, and monitor reception workloads and appointment systems (including managing Did Not Attend [DNA] rates).
Facilitate effective communication between patients, the primary healthcare team, secondary care, and external agencies.
2. Patient Services & Practice Operations
Receive, assist, and direct patients to the appropriate healthcare professional in a courteous, efficient manner via telephone, online, and in-person channels.
Handle general enquiries, complaints, and online feedback relating to reception services.
Oversee general administrative duties, including premises security (opening/closing), data entry, transport bookings, and maintaining tidy public reception areas.
Essential Criteria
Experience: Proven experience working in a receptionist role with a broad knowledge of General Practice operations.
Competencies: Excellent written and verbal communication skills, strong time management, ability to manage team members effectively, and a polite, confident, empathetic telephone manner.
Technical Skills: Competent in using SystmOne, Microsoft Office, and Outlook.
Vetting Requirements: Must successfully pass an enhanced Disclosure and Barring Service (DBS) check.
Desirable Criteria
Prior experience in managing a team and evidence of continuing professional development (CPD).
GCSE Grade 4/C or above in Maths and English (or equivalent).
