Job Title: Administrative Assistant - Mindplace
Location: Mindplace Winchester, 129 High Street, SO23 9AX
Salary: £26,800 per annum plus excellent benefits
Contract Type: Permanent, Full-Time (37.5 hours per week, Monday to Friday shifts between 8:00 AM – 10:00 PM with rotational Saturday & Sunday shifts 9:00 AM – 5:00 PM)
We are partnering with Mindplace Winchester—a dedicated centre believing that caring for your mind should feel as natural as caring for your body, grounded in nearly 80 years of trusted Bupa care—to find an organized and customer-focused Administrative Assistant. At Mindplace, expert face-to-face support is provided in a welcoming environment where patients are always the top priority.
As an Administrative Assistant through Supportive Bridge, you will efficiently manage all administrative and receptionist activities to ensure the smooth, seamless operation of the centre. You will act as a key support network, delivering outstanding customer service and ensuring every customer interaction—for both adults and children—is special and memorable.
Greet and welcome customers warmly, supporting their entire journey through the centre right through to a thorough checkout.
Answer, screen, and forward incoming customer phone queries while proactively managing local mailboxes and emails.
Maintain a well-presented, welcoming reception and waiting area at all times.
Ensure customer reports and results are managed, scanned, uploaded, and dispatched within desired timeframes and SLAs.
Prepare clinical files, manage appointment packs, check consent forms, and handle bookings, cancellations, and reschedules on management systems (EXACT/BOSS/Meddbase).
Process customer payments, invoices, added charges, credit notes, and manage incoming and outgoing post.
Monitor stocks, order supplies, process invoices and delivery notes, and assist with mammogram and MSK referrals where applicable.
Previous administrative and reception experience coupled with excellent verbal and written communication skills.
A friendly, welcoming demeanour with a passion for delivering outstanding customer service.
Highly organized, reliable, proactive, and computer literate with effective time-management skills.
Desirable: Knowledge of medical terminology.
Adaptable, resilient, and capable of working autonomously and collaboratively within a multi-disciplinary team in a busy environment.
