In this role, you will provide vital technical and administrative support to the Account Manager while coordinating Planned Preventative Maintenance (PPM) and reactive works efficiently.
Workflow & Helpdesk Coordination: Operate the EMCOR Helpdesk, allocate work to site teams, update client systems with progress, and schedule/plan all PPM works for internal teams and specialist contractors.
Financial & Billing Administration: Coordinate billing, process reactive, labour, and subcontractor costs, handle site purchasing via JD Edwards, and prepare works-in-progress paperwork for invoicing.
Contract & Data Management: Maintain contract files, Integrated Management Systems (IMS), and compliance documents, while producing monthly reports for the client.
Personnel & Operational Support: Manage weekly timesheets, handle holiday and sickness reporting, organize travel and accommodation, maintain call-out rotas, and process incoming/outgoing post.
Subcontractor Liaison: Manage subcontractor enquiries, organize call-outs for repairs, and track the return of internal/external service reports and quotes.
Experience: Solid background in a similar technical administration, helpdesk, or facilities management support role.
Technical Skills: Strong computer literacy, particularly with Microsoft Word and Excel, and familiarity with building services operations.
Core Competencies: Exceptional planning, time-management, and multi-tasking skills, with the ability to work on your own initiative under pressure.
Interpersonal Skills: A strong understanding of customer service, excellent communication abilities, and a professional approach.
Flexible Part-Time Hours: Work a consistent Monday–Friday schedule (choose between 08:00–13:00 or 11:30–16:30).
