Working Pattern: Hybrid – typically 3–4 days in the office and 1–2 days working remotely
Office Hours: 08:30–16:30 or 09:30–17:30
Working from Home: 09:00–17:00, including a 48-minute lunch break
PAYE Rate: £16.83 per hour
As a Business Support Officer, you will provide essential administrative and clerical support to managers, pod leads and social work teams within People Services.
You will receive full training and ongoing support. However, you should have some existing experience using Microsoft Outlook and Google Workspace, including Google Docs, Google Sheets, Gmail and Google Drive.
The role will involve a range of administrative and financial processes, with clear procedures and guidance available. You will also receive training on specialist systems and processes used by the service.
Your duties will include:
Providing general administrative and clerical support to managers and team leads.
Providing reception and visitor support when required.
Managing appointments and room bookings to ensure meetings run smoothly.
Taking accurate minutes during virtual and face-to-face meetings.
Processing financial and administrative requests from social workers.
Setting up suppliers and raising purchase orders through the council's Business World (formerly Agresso) system.
Entering, updating and maintaining accurate information across council systems, including Mosaic.
Maintaining information using Google Workspace applications.
Saving and managing authorisations and documentation within Google Drive.
Drafting, formatting and preparing documents.
Supporting the team to meet deadlines and service targets.
Providing training and guidance to new social workers on the services available and how to submit relevant requests.
Receiving training on No Recourse to Public Funds (NRPF) payments and the NRPF Connect database.
Supporting passport application processes, including paper and online applications.
Researching company information, archived reports and relevant files.
Attending team meetings, regular catch-ups, supervision and appraisal meetings.
Undertaking other administrative duties as reasonably required by your line manager.
We are looking for someone who is organised, adaptable and confident working within a busy administrative environment.
Essential skills and experience:
Good working knowledge of Google Workspace, including Docs, Sheets, Forms and Drive.
Good knowledge of Microsoft Outlook.
Typing speed of at least 50 words per minute.
Experience processing financial, administrative or similar service requests.
Strong written and verbal communication skills.
Ability to communicate professionally with colleagues, suppliers and customers.
Excellent attention to detail and accurate record-keeping skills.
Ability to work to deadlines and manage competing priorities.
A flexible and adaptable approach to work.
Ability to work effectively as part of a team.
Confidence using computer databases and updating records accurately.
Ability to research and locate information from company records, archived reports and files.
Willingness to take on a range of administrative responsibilities as required.
Flexibility to work across different sites within Sutton when necessary.
Full training will be provided on the council's processes, systems and procedures. This includes training relating to:
Financial processes and requests.
No Recourse to Public Funds (NRPF) payments.
NRPF Connect database.
Passport applications and associated processes.
Council systems and administrative procedures.
You will have access to established processes and procedures throughout your assignment, alongside ongoing support from the team.
This is a hybrid role, with the main working locations being the Sutton Family Centre and/or Civic Offices in Sutton.
The successful candidate will generally work 3–4 days in the office and 1–2 days remotely, depending on service requirements.
