We are proud to partner with BAE Systems to source a highly organized and proactive Team Administrator to support their Head Office Group Pensions team in Frimley.
As a Team Administrator, you will provide comprehensive secretarial and administrative support to ensure the smooth, confidential, and effective operation of BAE Systems pension arrangements. Working closely with Trustees, advisors, providers, member representatives, and senior colleagues, you will handle meeting coordination, travel logistics, document retention, and key governance activities.
Core Duties & Responsibilities:
Provide reliable administrative and secretarial support to the Group Pension teams.
Manage incoming and outgoing post, ensuring sensitive correspondence and key documentation are distributed securely.
Coordinate meetings, including scheduling, room bookings, catering, attendee lists, and security requirements.
Manage travel and accommodation arrangements, as well as expense claims for Trustees, senior colleagues, and member representatives.
Support pension governance activities, including Trustee meetings and the management of confidential records.
Monitor shared mailboxes, maintain accurate policies and procedures, and assist with document retention activities.
Administrative Experience: Proven background in an administrative or secretarial role, ideally within a professional office environment.
Technical Proficiency: Strong command of Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
Communication Skills: Excellent interpersonal and stakeholder management capabilities, with the confidence to interact professionally with senior leaders and external partners.
(Note: Prior knowledge of pensions is advantageous but not essential.)
Security Note: Due to defense and security regulations, all applicants must achieve at least a Baseline Personnel Security Standard. Higher levels of National Security Vetting may apply where required.
