We are currently recruiting a dedicated FM Administrator to join our Facilities Management team at HMP Fosseway in Leicester.
In this vital role, you will provide critical administrative support to ensure the smooth delivery of facilities management operations within a secure environment. Working within a close-knit team, your organizational skills and attention to detail will help colleagues, contractors, and stakeholders maintain high performance and safety standards every day.
As an FM Administrator, your responsibilities will include:
CAFM System Operation: Act as the primary contact for reactive maintenance requests, logging, tracking, and updating work requests using Computer-Aided Facilities Management systems.
Procurement & Support: Assist with procurement activities, including raising purchase orders and monitoring expenditures.
Contractor Coordination: Coordinate external contractors and support supplier vetting processes.
Reporting & Data: Produce accurate reports, forecasts, and performance insights using CAFM data.
Administrative Operations: Manage general administrative tasks such as payroll timesheets, overtime logs, sickness records, and asset management details to support the Head of FM.
Essential Experience: Proven working experience within a Facilities Management (FM) environment, alongside hands-on experience using a CAFM system.
Technical Skills: Strong proficiency in Microsoft Excel and Word for data management and reporting.
Core Competencies: Exceptional organizational skills, the ability to manage competing priorities under strict deadlines, and a professional, confidential approach.
Communication: Confident communication skills with the ability to build trusted working relationships at all levels.
This role requires an Enhanced DBS check (covering spent and unspent convictions, cautions, and relevant police information) in accordance with safeguarding guidelines, alongside an Occupational Health Questionnaire.
Competitive Pay: £26,766.68 per annum.
