We are currently recruiting on behalf of The Oakleaf Group, a leading and highly respected provider of community-based brain injury rehabilitation.

Operating from Oakleaf's main site in Hartwell, this position offers an excellent opportunity to support an established multidisciplinary team caring for adults with long-term neurological conditions and acquired brain injuries. Reporting directly to the Deputy Director, you will provide the vital administrative and clerical framework that keeps patient reviews and safety huddles organized, accurate, and on schedule.

Your Key Responsibilities

As the Administrator and Minute Taker, you will be the backbone of the multidisciplinary team’s communication, with duties including:

Meeting Coordination: Arranging and coordinating resident review meetings, ensuring all internal and external parties are invited.
Accurate Minute Taking: Attending resident reviews, daily Safety Huddles, Core Team meetings, Best Interest meetings, and weekly Multidisciplinary Team (MDT) meetings to produce comprehensive, accurate minutes and action logs.
Report Distribution: Coordinating the assembly and timely distribution of resident assessment review reports within strict agreed timescales.
Front-of-House Support: Providing professional reception cover and welcoming visitors to the facility when required.
Special Projects: Undertaking specific clerical projects as directly assigned by the Deputy Director.

Experience: Proven experience in formal minute-taking and administrative support is highly required.
Skills: Exceptional written communication and basic IT skills. You must be comfortable working to tight deadlines.
Attributes: Patient, resilient, and reliable, with the confidence to work independently as well as part of a busy healthcare team.
Availability: You must be fully available to work the set hours of 08:30 AM to 04:30 PM every Monday and Friday.
